HETS users: verify enrollment email by December 1 to avoid rejected eligibility requests

CMS ties uninterrupted HETS eligibility requests to a working provider enrollment email. The notice explains how report-delivery failures trigger suspension and why a software vendor cannot correct the provider enrollment contact.

What happened

CMS’s October 8 MLN Connects newsletter tells users of the HIPAA Eligibility Transaction System, or HETS, to ensure the email on their HETS EDI enrollment is correct by December 1, 2026. HETS 270/271 transactions check Medicare eligibility through billing software, electronic health records, practice-management systems or clearinghouses. A notification from the clearinghouse about delivery failure, or a missing monthly transaction-count report after enrollment, is a reason to check the contact address. CMS directs providers to correct the address through their Medicare Administrative Contractor, or MAC; the billing company, EHR vendor or clearinghouse cannot make that enrollment-email change for them.

The suspension condition is specific: if the HETS email fails to deliver on all three consecutive monthly dates, October 1, November 1 and December 1, 2026, CMS says HETS will suspend that enrollment and reject eligibility requests for the affected NPI. HETS returns an error until the address is corrected through the MAC. The notice does not describe a dry-run test, automatic suspension of every user in December, or loss of the patient’s Medicare eligibility. It identifies an administrative failure that can interrupt the eligibility-checking workflow even when the transaction software itself is working.
